This Privacy Policy describes the processing of personal data relating to visitors and users (collectively, the “Users”) of the website of VGN Studio Legale (www.vgnlex.com, the “Website”).

Data Controller

The data controller is VGN Studio Legale, with registered office in Milan, Via Monte Napoleone no. 8, Italy (VAT No. 05593690968).

1. Data Collected

   1. The personal data collected through the Website are the data provided by Users by completing the forms available on the Website or by submitting requests to VGN through the contact details available on the Website. The data collected include identification and contact details of Users (e.g. first name, last name, email address, telephone number), personal data contained in communications and requests submitted to VGN, as well as any additional data necessary to respond to and process the Users’ requests. Users are requested to provide only updated, relevant and non-excessive personal data in relation to the purposes of the processing. Where Users provide personal data relating to third parties, Users shall comply with all applicable legal obligations concerning personal data protection and shall properly and promptly inform such third parties of the disclosure of their personal data. Any unnecessary data will be immediately deleted or anonymised.
   2. Each time the Website is accessed, the systems automatically record and analyse access data (e.g. IP address of the provider, browser information, pages visited, date, time and duration of each visit). Such information is collected automatically by the Website and does not require any action by the User. The data collected are exclusively anonymous and aggregated data and therefore cannot lead to the identification of Users; such data are solely intended to identify and solve technical issues.

2. Purposes of the Processing

   1. Personal data collected through newsletter subscription forms (first name, last name and email address) will be processed for the purpose of sending newsletters and communications regarding the activities of VGN, including invitations to events and conferences organised and/or sponsored by VGN, also in cooperation with third parties. The provision of such personal data is necessary in order to subscribe to and receive the newsletter service. Therefore, failure to provide the requested data will prevent Users from receiving VGN newsletters. Users may unsubscribe from the newsletter service at any time by following the instructions contained in each newsletter or by contacting VGN using the contact details indicated below.
   2. Personal data collected through registration forms for events advertised on the Website (first name, last name, company and email address) will be processed for the purpose of enabling Users to participate in the requested event and to receive VGN newsletters. Events may be organised and/or sponsored by VGN, also in cooperation with third parties. In this case, personal data may be disclosed to public and private entities involved in the organisation and management of the event and/or to service providers involved in ancillary and necessary activities (for example speakers, hostesses and communication companies managing event-related communications). Such entities shall process the data either as independent data controllers or as data processors appointed by VGN pursuant to a specific written agreement. The provision of such data is necessary in order to complete the registration process; therefore, failure to provide the requested data will prevent participation in the relevant event.
   3. Where Users participate in events and/or activities organised and/or sponsored also by third parties, and subject to the User’s prior consent, personal data may also be disclosed to such third parties acting as independent data controllers pursuant to their own privacy notices. Consent is optional and any refusal to provide consent shall not prevent participation in the event. Consent may be withdrawn at any time by contacting VGN using the contact details indicated below, without affecting the lawfulness of processing carried out prior to withdrawal.
   4. Personal data collected through unsolicited job applications (first name, last name, telephone number, email address, curriculum vitae and any cover letter/message) shall be processed solely for the assessment of the candidate’s profile and for any subsequent interview process. The provision of personal data contained in cover letters/messages is entirely optional and failure to provide such data shall not affect the evaluation of the application.
   5. Personal data shall also be processed in order to respond to requests submitted by Users through the contact details available on the Website. For this purpose, Users are required to provide their contact details; otherwise, VGN will not be able to respond to such requests.
   6. The legal basis for the processing is the necessity to carry out pre-contractual and contractual measures requested by the User and to comply with related legal obligations.

3. Methods of Processing

   1. Personal data shall be processed through both manual and electronic means by personnel and collaborators of VGN and/or by entities expressly appointed as data processors, to whom VGN shall provide detailed operational instructions, including with regard to the adoption of appropriate technical and organisational security measures. The updated list of data processors is available at VGN’s office in Monza, Via G.B. Mauri no. 5/A, and may be requested at any time.

4. Recipients of the Data

   1. Personal data may be disclosed and transferred to the categories of recipients identified in connection with the purposes and methods of processing described above. Where necessary for the fulfilment of the processing purposes, personal data may also be transferred abroad, including in connection with events taking place outside Italy or requests involving foreign jurisdictions. Transfers of personal data outside the European Union shall take place only where appropriate safeguards are implemented, including, by way of example, the execution of standard contractual clauses approved by the European Commission, or where one of the derogations provided by applicable law applies, including the explicit consent of the User or where the transfer is necessary for the performance of a contract or pre-contractual measures requested by the User.

5. Data Retention Period

   1. Personal data collected and processed by VGN for the purposes described above may be retained for the period necessary to achieve the purposes of the processing, to comply with legal obligations, or to protect VGN’s rights until the expiry of the applicable limitation periods.

6. User Rights and Contact Details

   1. Users may, at any time and within the limits provided by applicable law: (I) obtain confirmation as to whether personal data relating to them are being processed; (II) request access to their personal data; (III) request the rectification, erasure or restriction of processing of their personal data; (IV) object to the processing or withdraw consent, without affecting the lawfulness of processing based on consent before its withdrawal; (V) receive their personal data in a structured, commonly used and machine-readable format and request transmission of such data to another data controller (data portability); (VI) lodge a complaint with the competent supervisory authority or bring legal proceedings before the competent judicial authority.
